Program Apprentice/Assistant to the Directors

Jacob’s Pillow seeks a Program Apprentice/Assistant to the Directors who will report to the Pillow’s Associate Producer and work closely with both the Director on scheduling and Managing Director on management and implementation of the Pillow’s Intern and Apprentice programs.

This is a new position that will begin as an apprenticeship in September 2017. After a three-month evaluation a decision will be made regarding whether or not the position will shift to permanent with benefits as of January 1, 2018. Apprentices are paid weekly salaries of $500/week, provided with onsite shared housing, and must have access to their own transportation. The ideal individual possesses initiative, a collaborative spirit, and excellent administrative skills including strong written and verbal communication skills in order to communicate professionally and sensitively with a wide-range of diverse contacts including artists, intern and apprentice applicants, Pillow staff, and the Board of Trustees, and the ability to handle and assimilate multiple projects of varying natures. Success in this role requires someone who is imaginative, highly motivated, service-oriented, and who works in a self-directed manner. A strong knowledge and passion for dance specifically and arts administration generally is required. Familiarity with a festival-paced environment, Jacob’s Pillow Dance, and the Berkshire community are a plus.

Responsibilities:

Assistant to Director and Managing Director

  • Coordinate Director’s calendar and travel arrangements
  • Organize and maintain Director’s files
  • Write, organize and maintain correspondence
  • Coordinate meetings and events on behalf of Director
  • Help maintain Master Calendar and other organizational planning calendars
  • Provide hospitality for Director’s guests
  • Provide assistance with expense tracking, submission of receipts, and travel reimbursements for Director and Managing Director
  • Assist the MD in administrative areas such as recruiting and hiring of staff
  • Oversee logistics for and preparation of all pre-Festival Orientations and post-Festival debriefings
  • Plan annual staff retreat in conjunction with Director and Managing Director
  • Assist with occasional correspondence, document formatting and excel spreadsheet needs of the Managing Director
  • Duties and special projects as assigned

Manage Internship and Apprentice Programs

  • Work in conjunction with the Managing Director to oversee the Festival internship and apprentice programs and the expansion of the academic year intern and apprentice programs for college students
  • Explore potential for developing projects and internship opportunities for high school students from Berkshire Area
  • Work with Managing Director to create a recruitment plan that involves face to face meetings with college career services departments
  • Festival intern scheduling, which includes creating and managing the intern experience calendar and setting up trainings as well as meetings for the full intern group
  • Create a program for academic year interns to include trainings and other professional development opportunities
  • Oversee Pillow Intern/Apprentice Facebook group
  • All administrative aspects of the program

Curatorial Assistant

  • Act as a programming research assistant to Associate Producer and Director
  • View and evaluate artist submissions for Inside/Out series; serve on curatorial team that finalizes Inside/Out series
  • Serve on the creative team for programming the festival and other special projects
  • In collaboration with Community Engagement Apprentice, coordinate all aspects of Community Day, including evaluating artists to perform
  • Organize and respond to artists’ submissions
  • Act as project lead for specific initiatives

Company Management

  • Assist Company Management with the coordination of artist logistics year-round as assigned
  • Provide hospitality to visiting artists and logistical support year-round as assigned
  • Assist in processing contracts and paperwork for artists

Cross-Departmental Responsibilities

  • Liaise with Community Engagement Department to assist with the administration of the College partnership program
  • Liaise with Business Office regarding all intern and apprentice paperwork
  • Liaise with Company Management regarding all logistics related to intern and apprentice travel and housing
  • Liaise with Marketing regarding the promotion of the Intern and Apprentice program and its presence on the Pillow website
  • Collaborate with Development to create, promote and staff annual Intern and Apprentice reunion in New York City and alumni day at Jacob’s Pillow
